Puppy and kitten sale paperwork: the checklist, and how to sign it without a photocopier

A complete puppy or kitten sale packet has a bill of sale naming the buyer and the animal, the store's written health guarantee or warranty, the vaccination and deworming record with dates and products, microchip details, registration or pedigree papers where they exist, and any disclosures your state requires of pet dealers. Signed on screen and sealed as PDFs with a verification page, the packet is easier to keep and to prove than paper.

The packet, item by item

Bill of sale: buyer's legal name and contact, the animal's name, breed, sex, date of birth, colour and microchip number, the price and how it was paid, the date, and both signatures.
Health guarantee or warranty: what the store covers, for how long, what the buyer must do (a vet exam within a set number of days is common), and the remedy. Write it in plain words; a guarantee nobody can read is a complaint waiting to happen.
Vaccination and deworming record: each vaccine and dewormer with the date, the product and who gave it. Families take this straight to their vet.
Microchip: number, registry and confirmation that the registration is being transferred to the buyer.
Registration or pedigree: the registry papers or transfer form where the animal has them, and the parents' names and photos where you have them.
State disclosures: many states have pet purchaser protection laws that require specific written statements from pet dealers, such as the breeder's or source's name and address, the animal's health history, and the buyer's remedies. Requirements differ by state; check yours and keep the wording current.
Receipt: the ticket itself, showing the deposit applied, the balance, the tenders and any insurance enrolment.

Fill it from the record, not from memory

Every fact in the packet already exists on the animal's record: the microchip, the dates, the parents, the vaccines. A system that keeps one record per animal can print the packet with nothing left blank, and a blank on a health guarantee is the first thing a lawyer looks for. Signing on screen, and proving it later

Electronic signatures on a pet sale are ordinary commercial signatures. What makes them hold up is what surrounds them: the signer saw the document, agreed to sign electronically, the document was not changed afterwards, and there is a record of when and from where it was signed.

Consent to sign electronically, recorded before the first signature.
The signed PDF sealed so a change would break it, with a trusted timestamp.
A verification page where anyone with the document can check it has not been altered.
A signing certificate listing each signature, the time, and the device it came from.
A copy emailed to the buyer the moment the packet closes.

Keep it for as long as the guarantee runs

The packet is only useful if you can find it in a year. Keep it attached to the animal and to the sale, not in a folder named by the month. When a buyer calls about the guarantee, the person answering should see the signed guarantee, the vaccine record and the ticket on one screen.

Questions, answered

Is an electronic signature valid for a puppy sale?

Yes, as with other commercial contracts, when the signer consented to sign electronically and the document can be shown to be unchanged. Petlovin' records consent, seals the PDF, timestamps it and gives every packet a verification page.

What is a puppy health guarantee?

A written promise from the seller about the animal's health for a set period, what the buyer must do to keep it, and the remedy if something is wrong. Stores write their own; many states also set minimum protections for pet buyers.

Do I need the buyer's name on the bill of sale?

Yes. A bill of sale with a blank where the purchaser goes is not a record of anything. Petlovin' will not close a pet sale until the buyer's name is on the ticket.
